We are two companies that work together under the Independent Inspections name:

Which company is responsible for your information depends on which of us you deal with. For most customers, this is the company named on your quote or invoice. Where both companies handle your information, they are each responsible for it. Our UK engineers carry out all site work.

What information we collect

When you contact us or request a quote: your name, business name, email address, phone number, postcode and the details you give us about your equipment and requirements.

When you become a customer: the information above plus site addresses, billing details, purchase orders, payment records, and records of the equipment we inspect, test, service or repair. This includes test results, inspection reports, certificates, Written Schemes of Examination and service history.

When you visit our website: technical information such as your IP address, browser type, device, pages visited and how you reached us. See “Cookies” below.

When you call or email us: the content of your messages, and notes of our conversations.

We do not knowingly collect information about children, and our services are for businesses.

We do not sell your personal information, and we do not use it to make automated decisions about you.

Who we share it with

We share information only where we need to, with:

  • our engineers and office staff

  • our accountants, bookkeeping and invoicing software providers, and payment providers

  • website, email, form and IT service providers, including Framer (website hosting), Bluehost, Namecheap and Xero

  • our professional advisers, insurers, and regulators or authorities where the law requires it

These providers may only use your information to provide services to us.

Transfers outside the UK

Our two companies share information between the UK and the Isle of Man. The Isle of Man is recognised by the UK as providing an adequate level of data protection. Some of our service providers may store information elsewhere, including outside the UK. Where they do, we make sure appropriate safeguards are in place, such as approved contractual clauses.

How long we keep it

We keep information only as long as we need it:

  • Enquiries that do not become work: 12 months

  • Customer, invoicing and accounting records: 6 years after the end of the financial year, as required for tax and accounting

  • Inspection, test and Written Scheme records: indefinitely, because these records may be needed throughout the life of the equipment

  • Marketing preferences: until you ask us to stop

Cookies

Our website uses only cookies that are strictly necessary for it to work. We do not use advertising or tracking cookies.

Your rights

Under UK data protection law, and Isle of Man data protection law where it applies, you have the right to:

  • ask for a copy of the information we hold about you

  • ask us to correct inaccurate information

  • ask us to delete your information, where we have no good reason to keep it

  • ask us to restrict how we use it

  • object to us using it based on our legitimate interests, or for direct marketing

  • receive your information in a portable format, where this applies

  • withdraw your consent at any time, where we rely on it

To use any of these rights, contact us using the details above. We will reply within one month. You do not have to pay a fee, unless the request is clearly unfounded or excessive.

Keeping your information safe

We use sensible technical and organisational measures to protect your information, including access controls and secure storage. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
